Chief of staff with one agent per business

An owner in Nha Trang runs bike rentals, apartments, and a retreat with a spa. Each business kept its own records, and each needed its own staff to keep track of them.

Before the agent

Bookings, tickets and return dates were scattered across the businesses. Keeping on top of them meant hiring people for each business and asking each of them for updates.

One agent per business

We built a specialist agent for each business. One tracks the tickets sold for the retreat and spa. One tracks who has rented a bike and when it is due back. One tracks who is staying in the apartments, with their check-in and check-out dates.

One place to ask

The specialist agents report to a chief-of-staff agent, and the owner talks only to the chief of staff. She asks what is happening across her businesses and gets one answer, drawn from all of them.

Reminders

The chief of staff also sends her reminders, such as a bike due back today or guests checking out tomorrow.

I've reduced headcount and I can finally see all of my businesses at once. Some nights the agent keeps working, and I wake up to a task already done.
